Information for authorised representatives

Authorised representatives (third parties) act as an agent for an applicant or practitioner for a specific application. Authorised representatives are usually employers, or immigration agents.

An authorised representative must have an Ahpra portal account and be nominated by the applicant or practitioner.

We link the authorised representative to the individual applicant or practitioner in our system. Once linked the authorised representative can see specific details of the applicant or practitioner’s application.

Setting up your Ahpra portal, getting nominated and linked

If you are a registered health practitioner, you will have an account. Simply log in to the Ahpra portal. If you haven’t yet moved your account, follow the instructions to move your account and set up your Ahpra portal.

If you are not a registered health practitioner, simply create an account. Your username will be the email you use to set up your account. Follow the instructions to create your account and set up your Ahpra portal.

The applicant must nominate you in their application or advise their case officer that they want to add you as their representative.

You need to provide them your name and email address. The email address must be the one you use for your Ahpra account.

If you do not already have an account, you must create this account before it can be linked to the applicant or practitioner application. See the instructions above ‘How do I create an Ahpra account so I can be linked as an authorised representative?

When an application is assigned to a case officer, the case officer will approve you as an authorised representative for the individual applicant. You will then have access to information about their application.

For now, applicants and practitioners can only nominate one person to be their representative.

For now, authorised representatives are limited to individuals. You will need to have your own, individual email account that is not linked to other individuals who may be authorised representatives.

We will ask for your name and contact details when you set up your account. You will also be asked to set up multifactor authentication. The account is not designed to be a shared account.

Yes. You can be an authorised representative for more than one person.

There is no limit to the number of people who can nominate you to be their authorised representative.

An applicant or practitioner can only nominate one person to be their authorised representative.

Once we receive an application and it is assigned to a case officer, the case officer will link the applicant or practitioner to your account.

The time to do this varies, depending on the type of application and whether other assessment steps need to be finished before we can link the application.

No. Authorised representatives log in through the Ahpra portal.

Practitioner Information Exchange or PIE is a subscription service offered by Ahpra. It is not the same as the Ahpra portal.

PIE allows subscribed healthcare organisations to easily check the details and registration status of the health practitioners they employ. A PIE browser subscriber can receive alerts about changes to a practitioner’s details or registration status via PIE Alerts, which are updated every 24 hours.

This service has not changed with our recent operating system upgrade.


 

 

Using the Ahpra portal as an authorised representative

Authorised representatives can complete assigned tasks, make enquiries and upload relevant documents.

You can’t see the whole application or all of the practitioner’s details. You can see tasks relevant to you as the nominated authorised representative.

You can also see where the application is up to in the assessment process, such as awaiting proof of identity check or awaiting information.


If you have an account with Ahpra, as a registered health practitioner or applicant, you can use that same account to see your details or switch to see details about any applicant or practitioner you are the nominated representative for.

Your details are separate to the applicant or practitioner you are representing, and they will not have access to your details.

Clicking on the ‘Switch views’ button, in your Ahpra portal dashboard to switch between your account and the applicant or practitioner’s details. 

 

 

What’s changed about the application process for IMGs

We have moved all hard copy application forms to an online application form.

Some forms associated with registration processes are still hard copy, such as request for change of circumstance (ACCL-30) or work performance reports (WRIG-30). You can find these on the relevant National Board’s Applying for registration page.

For medical practitioners such as IMGs download forms from the Medical Board’s Applying for registration page.

Applying online is a different experience for health practitioners, especially IMGs and the people who support them.

Previously, all information was captured in a PDF form. This included supervisor and employer information.

Our goal is to move all this information online.

For now, supervisor and employer information is captured in a new condensed PDF form.

These are available on the Ahpra and Medical Board of Australia websites.

The doctor can upload the form when prompted in the online application form. You can also upload them if you are the authorised representative for the application.

Everyone applying for registration must go through an identity check. We now use InstaID+, a secure independent provider.

After the applicant submits their application, InstaID+ will email them a secure link to complete their proof of identity check online.

It can take up to 48 hours for the link to come from InstaID+. Applicants should check their inbox and junk or spam folder.  

If it’s not there, they can make an online enquiry. This is the best way to request a new link. 

Please do not contact InstaID+, they cannot send the applicant a new link

InstaID+ advises us of the result, including any fraudulent results.

Applications remain in a holding bay until we receive the result. We won't start assessing the application until the doctor completes these checks. 

The change of circumstance process has not changed. You can download the Request for change of circumstance form (ACCL-30) on the Medical Board’s Applying for registration page.

Complete the form and either ask the practitioner to upload it in their portal or if you are the authorised representative, you can upload it yourself in your portal account.

When uploading, you need to select ‘Request a change in circumstance’ from the long list of drop-down options.

This helps get this to the right team quicker.

 

 

Helping your employees renew

Renewal timeframes haven’t changed for practitioners with provisional or limited registration. Nor have the number of times a practitioner can renew before a new application is needed.

Limited registration can only be renewed three times and provisional two times.

We email practitioners 8-12 weeks before their renewal or new application (if they have exhausted their renewal opportunities) is due.

We encourage practitioners to submit the renewal or new application with plenty of time.

Once these are exhausted, the practitioner must submit a new application for limited or provisional, or for general or specialist if all requirements have been met.

Employers can check the registration status of their employees on the Register of practitioners.

If the registration date has passed and the practitioner is still on the register, it means that practitioner has submitted a renewal, and the renewal is in assessment. A practitioner can continue to work while they appear on the register, even if their registration expiry date is in the past.

Employers may also like to ask for the confirmation of renewal email from the practitioner.
